Everything you need to get off to a good start and get the most out of Zapia. A 3-minute read.
Zapia handles the tedious stuff. You handle what matters.
The basics
- 01AI assistantIt’s not a search engine or a chatbot that just answers questions. It’s someone you hand things off to. It gets them done using your apps and your data, then lets you know when it’s finished.Open in Zapia
- 02ContextEverything Zapia has on hand to help you. What you tell it in the chat, what it remembers about you, and what it reads in the apps you’ve connected. With little context you get generic answers; with yours, you get answers for your situation.Open in Zapia
- 03ConnectorA permission. You give it access to one of your sources, like your email or your calendar, and it stops working blind.Open in Zapia
- 04Scheduled taskSomething you set up once that then runs on its own, every day or whenever a condition is met.Open in Zapia
- 05SkillYou explain once how you do something, step by step, and it’s saved. From then on, you ask with one sentence and it does it the same way every time.Open in Zapia

Good habits
Show me your chats and I’ll tell you who you are.
- 01Organize your chatsOne chat per topicOne for work, one for home, one for the trip. Each chat keeps its own conversation, and what Zapia knows about you comes along in all of them.
- 02Organize your chatsName themRename them so you can spot them at a glance, and add an emoji if that helps you find them faster.
- 03Organize your chatsPin the ones you use mostThe ones you open every day go at the top, pinned, so you never have to hunt for them.
- 04How to askAsk for the resultSay what you want done, not how to do it. Zapia figures out the how.
- 05How to askLet it askEnd with “ask me everything you need up front.” It gets it all in one round instead of going back and forth.
- 06How to askGive it a ruleIf it’s going to decide for you, tell it how. “If it conflicts with something, suggest the first open slot.”
- 07How to askHave it confirmFor anything going out to other people, have it show you before it sends.
- 08A single source of truthYour rules in one documentWrite down once how your business works, in a Drive document. Your prices, your hours, the questions you always get. Connect it and ask Zapia to check it before doing anything. If a price changes, you fix it there and you're done.
Connectors
A connector is permission for Zapia to go into one of your apps and work there, like reading your email, checking your calendar, or opening a document. Connecting doesn’t mean losing control. Zapia doesn’t do anything you didn’t ask for, and when it suggests something or is about to act on your behalf, it waits for you to confirm.
GmailReads your email and tells you what came in and what you haven't answered. Drafts replies, finds that old email, and flags anything important.
OutlookSame as Gmail, on your Outlook account. A rundown of what came in, replies ready to go, and a heads-up on what matters.
CalendarKnows what's on today and when you're free. Books meetings, finds open slots, and reminds you of what's next.
WhatsAppSums up your chats, tells you what's still pending, writes replies, and schedules messages. And from any chat, @zapia.
DriveFinds, reads, and creates docs and spreadsheets in your Drive. Sums up a file or builds a new one from what you ask.
NotionReads your Notion pages and databases and adds notes or tasks where they belong.
TasksCreates tasks from a chat or an email and shows you what's still open.
SlackSums up the channels you care about, tells you where you were mentioned, and drafts replies.

Through WhatsApp Hooks
Ask Zapia without leaving the chat.
No need to open the app. In the WhatsApp chat where you want the answer, type @zapia and what you need. The answer shows up right there, and in the app too.
@zapia what’s the weather going to be like Saturday in Mendoza?
@zapia find a one-hour slot on my calendar this week for us to meet and suggest two options.
With your calendar connected, the options come from your actual schedule.
@zapia sum up what was discussed here and tell me what’s on my plate.
Things Zapia does for you
- 01Keep you in the loopWhat’s going on out there and what you’re about to decide, summed up just for you.
- 02On top of your conversationsWith WhatsApp or email connected, it tells you what came in, what’s still pending, and drafts the reply for you.
- 03Work with filesSend a photo, a voice note, or a PDF and get it back converted, cleaned up, or ready to present.
Scheduled tasks and skills
Set it up once and it runs on its own. Two levels.
Set it up once and it runs on its own.
A scheduled task can be a routine, something that shows up every day, or a reminder, something that pings you once at the right moment.
Teach it one of your tasks and run it with one sentence.
You tell it how you do it, once. After that, you call it by whatever name you gave it.
From then on, you just type “prep my meeting with [name].” Four things you used to do by bouncing between apps, now one sentence you made up yourself.
Advanced cases to try
Several flows wired together in a single request.
These three cases combine in one request what you’ve seen separately. A connector, a document Zapia maintains, and a scheduled task that keeps it running on its own.
